The Hon Hsing Athletic Club of Vancouver (the “Club,” “we,” “us,” or “our”) respects your privacy and is committed to protecting personal information in accordance with applicable Canadian privacy legislation, including the British ColumbiaPersonal Information Protection Act (“PIPA”) and, where applicable, the federal Personal Information Protection and Electronic Documents Act (“PIPEDA”).
This Privacy Policy explains how we collect, use, disclose, and safeguard personal information when you visit our website (the “Site”), submit a booking or contact inquiry, or otherwise interact with us online. By using the Site, you consent to the practices described in this Policy. Please also review ourTerms & Conditions.
1. Scope
This Policy applies to personal information collected through the Site and related online communications. It does not apply to third-party websites or platforms that may be linked from the Site, which are governed by their own privacy policies.
2. Personal Information We Collect
“Personal information” means information about an identifiable individual. Depending on how you interact with us, we may collect:
- Contact and inquiry details — such as your name, email address, phone number, organization or company name, and the content of messages you send through our contact or booking forms;
- Event information — such as event type, date, location, venue details, and other particulars you provide in connection with a performance inquiry;
- Correspondence — records of communications you exchange with us by email, phone, social media, or other channels; and
- Technical and usage data — such as IP address, browser type, device information, referring pages, pages visited, and approximate location derived from technical data, which may be collected automatically through cookies or similar technologies (see Section 6).
We do not knowingly seek to collect sensitive personal information through the Site unless you voluntarily provide it in a message, and we ask that you avoid including unnecessary sensitive details in inquiry forms.
3. How We Use Personal Information
We use personal information for purposes that include:
- Responding to inquiries and communicating with you about performances, events, or general questions;
- Evaluating, confirming, and administering booking requests and related arrangements;
- Operating, maintaining, securing, and improving the Site and our online presence;
- Understanding how visitors use the Site (in aggregate or anonymized form where practicable);
- Complying with legal, regulatory, and organizational obligations; and
- Other purposes that we disclose to you at the time of collection or for which we obtain your consent, or as otherwise permitted or required by law.
4. Consent
We collect, use, and disclose personal information with your consent, except where otherwise permitted or required by law. Consent may be express (for example, when you submit a contact form) or implied where it is reasonable in the circumstances (for example, when you provide information necessary for us to respond to a request you initiated).
You may withdraw consent at any time, subject to legal or contractual restrictions and reasonable notice. Withdrawal of consent may affect our ability to respond to your inquiry or provide certain services.
5. Disclosure of Personal Information
We do not sell your personal information. We may disclose personal information only as reasonably necessary in the following circumstances:
- Service providers — to trusted third parties who assist us with website hosting, email delivery, form processing, analytics, or similar operational services, under obligations to protect the information;
- Internal Club administration — to authorized members, directors, or volunteers who need the information to respond to inquiries or manage bookings;
- Legal and safety requirements — where disclosure is required or permitted by law, court order, or regulatory process, or to protect the rights, property, or safety of the Club, our members, or others; and
- With your direction — where you ask us to share information or otherwise consent to disclosure.
6. Cookies, Analytics, and Similar Technologies
The Site may use cookies, pixels, or similar technologies to enable basic Site functionality and to understand traffic and usage patterns. Some of this information may be associated with your device or browser.
We use Cloudflare Web Analytics, a privacy-focused analytics service provided by Cloudflare, Inc., to collect aggregated pageview and performance metrics (such as page loads and Core Web Vitals). Cloudflare Web Analytics is designed to operate without invasive cross-site tracking or advertising cookies; it does not rely on client-side cookies for its core measurement and does not track individual visitors across unrelated websites. Analytics data is processed by Cloudflare in accordance with its privacy practices.
We also use Google Analytics 4 (Google LLC) to understand how visitors use the Site, including metrics such as page views, sessions, and approximate unique or returning visitors. Google Analytics may set cookies or use similar technologies on your device and may process information such as your IP address, device/browser characteristics, and pages visited. Google may process this data in accordance with its privacy practices. You can learn more about how Google uses data from sites that use its services, and you may be able to opt out of certain Google Analytics collection via Google’s available tools or your browser settings.
You can typically control cookies through your browser settings. If you disable cookies, some features of the Site may not function as intended. Third-party platforms linked from the Site (such as social media) may set their own cookies subject to their policies.
7. Retention
We retain personal information only as long as necessary to fulfill the purposes for which it was collected, to maintain appropriate business and organizational records, and to meet legal or regulatory requirements. When personal information is no longer required, we take reasonable steps to securely destroy, erase, or anonymize it.
8. Security
We implement reasonable administrative, technical, and organizational safeguards designed to protect personal information against loss, theft, and unauthorized access, use, disclosure, copying, or modification. However, no method of transmission over the Internet or electronic storage is completely secure, and we cannot guarantee absolute security.
